Route emails by inbox label

Detect newly labelled emails, match each label to its routing rule, forward the message or create a task, and archive what has been handled.

Useful for
Individual knowledge workers with high volume inboxes, including managers, founders, consultants, and anyone who regularly delegates email or turns it into follow up work.

Copied

Watch [email platform] for emails that have just had a label applied by the inbox owner. When a newly labelled email is detected, look up that label in a routing table held in [routing rules source, e.g. a spreadsheet, database, or a mapping defined inside the scenario] to find its mapped destination. If the rule says to delegate, forward the email and its attachments to the assigned recipient through [email platform]; if the rule says to track it, create a task in [task management tool] containing the subject, sender, and a link back to the original message. Once the action completes successfully, archive the email in [email platform], mark it as read, and replace the trigger label with a routed label so the message is never processed twice. If the applied label has no matching rule in the routing table, leave the email untouched in the inbox.

Problem

People with busy inboxes read each email, decide what it needs, then act on that decision by hand, forwarding it to the right colleague or retyping the details into a task list. Because the decision and the follow through happen at different moments, delegations get forgotten and emails sit unactioned. Clearing the inbox turns into a repetitive copying exercise rather than a decision making one.

Solution

When the inbox owner applies a label to an email, the automation matches that label against a predefined routing table and runs the mapped action, either forwarding the message and its attachments to the assigned person or creating a task carrying the subject, sender, and a link back to the original message. Once the action completes, the email is archived, marked as read, and relabelled as routed so it is never handled twice. Labels with no matching rule are left untouched in the inbox.

Impact

Every labelled email reaches the person or task list it belongs in and leaves the inbox, so triage decisions become completed handoffs instead of open loops.
